Who we are
Ashford Cab Plus is a taxi booking service run by Gary Winter, a sole trader, from Ashford, Kent. We are the "controller" of the personal data described here, which means we decide how and why it is used. This policy covers the Ashford Cab Plus booking app and website.

What personal data we collect
We only collect what we need to take and carry out your booking. You can book as a guest, without an account.
If you create an account
- Email address and password (the password is held by our sign-in service and we cannot read it)
- Phone number, which is needed to book so your driver can contact you
- Your name, if you give it (optional)
- Saved addresses such as Home and Work, if you save them
- The date you last used the app, which we record once a day only to apply our inactivity rule
If you book as a guest
- Your phone number, and your name if you give it
- A private access code that lets you see only your own booking. We store only a scrambled (hashed) copy of it
For every booking
- Pickup and drop-off addresses and their map coordinates
- Date, time, distance, journey time and fare
- Payment method (cash or card at pickup). We never see or store card details
- Number of passengers and luggage, and any notes you add
- The name of the driver who accepts the job
Messages and ratings
- Messages you send to or receive from your driver about a booking
- Star ratings and optional comments you give a driver
If you are a driver
- Name, phone number, email, licence number and vehicle details
- Your location, but only while you have switched yourself Online and the jobs screen is open. It is saved at most every 10 seconds and is used to show your approach on the map to the customer whose job you have accepted
- Private calendar entries and earnings notes, which only you and the administrator can see
Technical data
- If the app crashes we record the error message, the page, and your browser or device type. This does not include your name or contact details
Why we use your data
We use your data to take, price and carry out your taxi booking, and for the reasons below. We do not sell your data and we do not send marketing messages.
- Taking and carrying out your booking, letting your driver contact you, and calculating the fare. This is to provide the service you asked for. Legal basis: contract.
- Showing you your driver's name, vehicle and live position during your trip. Legal basis: contract.
- Keeping your account and saved addresses, so you can book faster. Legal basis: contract.
- Keeping basic booking records (date, fare, payment type, area) for business and tax records. Legal basis: legal obligation.
- Keeping booking details for 12 months to help with complaints, disputes and enquiries from the police or other authorities, protecting our business, drivers and customers. Legal basis: legitimate interests.
- Limiting repeated requests and keeping the app secure, to prevent misuse and fraud. Legal basis: legitimate interests.
- Recording crashes, to fix faults. Legal basis: legitimate interests.
- Sending you a deletion link or an inactivity warning, to carry out your request or protect your account. Legal basis: contract and legitimate interests.
Location: if you allow it on the booking screen, your device position is used only to centre the map. It is not stored, and you can type an address instead. We save the pickup and drop-off points you choose with your booking. We store a driver's position only while that driver has switched themselves online, and drivers can stop this at any time by going offline. Anyone can turn off location permission in their browser or device settings.
Who can see your data and who we share it with
People
- You: your own account, bookings, messages and ratings.
- Your driver: the full pickup and drop-off addresses, your first name, your phone number and your messages, but only after they accept your job. Drivers browsing open jobs see only the town, postcode area, fare, time, vehicle type, distance and duration.
- Customers: while your job is live, your driver's name, vehicle, rating, phone number and position. They do not see your driver's other details.
- Us: Ashford Cab Plus administration.
Companies that help us run the service
We use these services. They receive only what they need to do their job, and we do not allow them to use it for their own advertising.
- Google Maps and Google Routes receive map positions, addresses you choose, and pickup and drop-off coordinates, to show maps, find addresses and work out distance and fare.
- OpenStreetMap receives the address text you type or the point you choose on the map, and your IP address, when you use address search or the map without signing in.
- Google Fonts receives your IP address when a page loads, to display the app's text style.
- unpkg receives your IP address when a page loads, to load part of the app's code.
- Our app hosting and email provider receive your account email and the content of emails we send you, to run the app and send deletion and account emails.
We may also share data if the law requires it, for example with the police or a court, or to protect people's safety.
How long we keep your data
- Your account, saved addresses, messages and ratings: until you delete your account. Accounts of customers who have not used the app for 3 years are deleted, after a warning email 30 days beforehand.
- Bookings (names, phone numbers, full addresses, notes): 12 months after the trip is completed or cancelled. After that, personal details are removed and only the date, fare, distance, payment type, status, vehicle type and the postcode areas are kept for business and tax records.
- Messages and private rating notes linked to a booking: deleted with the booking details at 12 months.
- Guest records and access codes: deleted 12 months after the guest's last booking. Anti-abuse counters are deleted after 24 hours.
- Driver location: only your latest position is stored, and it is cleared when you go offline.
- Driver profiles: until the driver deletes the account or we remove it.
- Crash logs: 30 days.
- Website enquiries: 12 months.
We keep booking details for 12 months so that we can deal with complaints, disputes and enquiries from the police and other authorities. Basic financial records are kept for as long as the law requires for tax.

Cookies, security, transfers, children and changes
Cookies and local storage. The app uses one cookie to remember the width of its side menu. It stores your sign-in, your current booking, your theme choice and the times you last read messages in your browser, and a guest's access code for the browser session. These are needed for the app to work. Signing out or clearing your site data removes them. There are no advertising or tracking cookies.
Visitor statistics. Our app platform records basic visitor statistics, such as which pages are visited, the country, device type, operating system, the address you came from and how you signed in. We use these only to see how the app is used. We do not use session recordings, and there are no advertising or cross-site tracking tools.
Our website. The website at www.ashfordcabplus.co.uk is hosted by Webador. If you send us an enquiry through the contact form, we receive your name, email address and message, and use them only to reply. We keep enquiries for 12 months. Webador may set cookies needed to run the site and collect basic visitor statistics under its own policy.
Security. Each person sees only the data they need. Guest access codes are stored only in scrambled form, repeated requests are limited, and card details never pass through the app.
Data sent abroad. Google and OpenStreetMap services may process data outside the UK. They do so under their own data protection terms, which include safeguards approved for UK users.
Children. The app and website are intended for people aged 18 and over.
Changes. If we change this policy we will update the date at the top. The current version is always at this address.
